This role combines comprehensive office administration, vendor and service provider coordination, procurement responsibilities, IT liaison duties, and project-related administrative support. You will be the central operational anchor of the office managing internal processes, ensuring accurate data, supporting design and management teams, overseeing time-sensitive procurement tasks, and maintaining strong communication with suppliers, service providers, and staff. Key Responsibilities 1. Procurement & Purchasing (MSLD & MSLN) • Request quotes, follow up on pricing, and confirm orders for materials, finishes, fixtures, furniture, and design-related items. • Assist in sourcing vendors, materials and products for interior design products. • Prepare, process, and track purchase orders and procurement budgets. • Track suppliers and vendors to request quotes, confirm lead times and follow up proactively on deliveries. • Indentation / Shipping Administration: Manage MSLD/MSLN shipping, including communication with national/international agents and suppliers, payments, quotations, invoicing, Forex, and delivery coordination. • Receive and check deliveries (including Sanware), sign off documentation, and ensure correct quantities. • Maintain procurement tracking sheets, delivery schedules, and ensure timely deliveries and client statements. • Coordinate logistics and warehouse delivery when required. • Manage inventory for MSLN, including pricing, stock capture on QuickBooks, and annual stock take. • Assist with coordinating installations, smalls and logistics as required. • Assist design team in researching and organising product samples and specifications. • Support project photoshoots, purchasing, and related operational tasks. • Assist with client-facing procurement tasks such as preparing quotes or presentations (on instruction). • Help ensure project installations are adequately supplied with all required ordered items. • Support the maintenance of the materials library and vendor database. 4. Financial & Timesheet Administration • Capture and maintain timesheets for staff, including hours, project allocations, and percentages. • Compile monthly summaries, staff worksheets, and project hours for management. • Ensure accuracy of timesheet entries and follow up on corrections. • Support QuickBooks invoicing, posting, monthly billable hours, and statement runs. • Assist with client invoicing, approvals, and payment follow-up. 5. IT Coordination & Digital Record Management • Liaise with IT service providers (e.g., Leapfrog) for troubleshooting, software installation, and equipment setup. • Ensure staff have the required and legally compliant software and programs. • Maintain equipment allocation logs for computers, laptops, UPS units, and screens. • Assist staff with minor technical issues such as connections and malfunctions. • Scan and archive files, keeping accurate digital archiving records. • Manage after-hours laptop sign-outs and returns (if applicable). 6. Project & Design Team Support • Assist in organizing and maintaining the materials library and sample room. • Support designers with product samples, supplier coordination, and logistics. • Update Sanware schedules with pricing and project details. • Provide accurate project information for billing and QuickBooks entries. • Prepare procurement or project documentation as needed by the design and management teams. • Oversee storage management (locks, item lists, insurance claims, movement of items) • Supervise driving/installation staff and manage task allocation (projects, storage, availability).
